Introduction

The ROYAL OSTEND GOLF CLUB CVBA, Koninklijke Baan 2, 8420 De Haan, with KBO number 0405.187.410 (henceforth “ROGC”) provides a publicly available website at https://www.rogc.eu (referred to as “website”).

On the website, ROGC puts great care in the accurateness, completeness and up-to-dateness of all information. However, if any mistakes appear, please report them to info@rogc.eu and we will rectify them as soon as possible.

ROGC also puts your privacy on our website first. This Privacy Policy document contains types of information that are collected and recorded by ROGC and how we use it.

The information we collect

The personal information that you are asked to provide, and the reasons why you are asked to provide it, will be made clear to you at the point we ask you to provide your personal information.

If you contact us directly, we may receive additional information about you such as your name, email address, phone number, the contents of the message and/or attachments you may send us, and any other information you may choose to provide.

The website does not collect any personal information, except for the online booking of greenfee reservations, or any other form you might fill.

Greenfee reservations

The website provides the functionality for online reservations of greenfees for non club members. This online reservation page is accessible at https://rogc.eu/booking/

The data we ask you to provide, and that we store about you is your:

  • First name

  • Last name

  • Email address

  • Telephone number

  • The number of adults for your greenfee reservation

  • The number of juniors for you greenfee reservation

  • Your reservation slot

  • Any remarks you added

  • We can ask you any other information on your arrival at the ROGC Club House before you start golfing, such as your federal number and handicap

The data you provide via the online booking form will only be used to send you a confirmation email of your reservation and to contact you for administrative reasons if needed. 

Also, this data is never shared with any 3rd party unless this would be absolutely necessary to provide you with your reservation on the golf course. Your data is only used within our internal digital systems in order for us to be able to keep track of your reservation. It is also used to communicate relevant information about your reservation with you.

How your data is collected

We have no automatic data collection tools. This means that any data that is collected is provided by visitors of the website themselves. This data is entered in web forms and is sent to our backend systems on completion. There the data is stored and secured according to best practices in IT.

How and how long your data is stored

All data is stored inside a secured database via our backend systems. Those systems run on a secured cloud based web server. We take backup and security measures that conform to the state of the art.

ROGC does not store personal data for longer than is absolutely necessary for the purpose for which they are collected or for which they are required by law.

How we use your information

We use the information we collect in various ways, including to:

  • Provide, operate, and maintain the website

  • Improve, personalize, and expand the website

  • Understand and analyze how you use the website

  • Develop new services, features, and functionality

  • Communicate with you to provide you with updates and other information relating to the website and for marketing and promotional purposes

  • Send you emails 

  • Providing targeted information about the ROGC (registrations, competitions, course status updates and more)

  • Sending newsletters

  • Organization of events and competitions

  • Find and prevent fraud

We can provide your data to third parties if this is necessary for the execution of the purposes described above. For example, we use the services of these third parties:

  • BEgolf, used for the membership administration and organization of the competitions

  • Taking care of the internet environment (web hosting)

  • Providing IT infrastructure (including IT network, …)

  • Providing (and distributing) newsletters and invitations

We never pass on personal data to other parties with whom we have not concluded a Privacy-agreement.

Log Files

The ROGC website’s third party IT service provider follows a standard procedure of using log files. These files log limited user activity when they visit the website. All hosting companies do this as part of hosting services' analytics. The information collected by log files include internet protocol (IP) addresses, browser type, Internet Service Provider (ISP), date and time stamp, referring/exit pages, and possibly the number of clicks. These are not linked to any information that is personally identifiable. The purpose of the information is for analyzing trends, administering the site, tracking users' movement on the website, and gathering demographic information.
